YOUNG WOMEN’S FREEDOM CENTER DBA FREEDOM CENTER JOB APPLICANT PRIVACY NOTICE

This Job Applicant Privacy Notice (“Privacy Notice”) describes how Young Women’s Freedom
Center dba Freedom Center (“YWFC”, “we”, “us”, “our”), and fiscally sponsored projects collects
and uses your personal information during the application, recruitment, and interview process
when you choose to apply as a job applicant (“you” or “applicant”). This Privacy Notice also
describes your rights with respect to your personal information. The Privacy Notice applies
solely to applicants who reside in the United States and apply for an open position to work at
YWFC.


We work with vendors that we have instructed to collect, store and process personal
information on our behalf to provide services to you. For example, we contract with Comeet, as
a recruiting and job applicant tracking platform to handle your personal information as an
applicant.

DISCLAIMER: Providing you with this Privacy Notice does not guarantee that you will be
interviewed for the position for which you applied or that you will be offered employment at
YWFC.

1. PERSONAL INFORMATION WE COLLECT
In this Privacy Notice, “personal information” means any information that allows us to identify a
specific individual. Personal information does not include anonymous or de-identified data that
is not associated with a particular individual.
We may collect the following types of personal information about you as a job applicant for a
position(s) at Freedom Center:

  • Identifiers and contact information, such as name, address, phone number, email address.
  • Social media accounts that you provide in your job application (i.e., LinkedIn profile).
  • Employment and relevant professional history including résumé, CV, cover letter, and other information about your skills, experience, background, qualification, and professional memberships.
  • Educational background, including degrees awarded, transcripts, graduation year, and other information provided in your job application.
  • Information collected during phone screenings, interviews, and other hiring-related assessments.
  • Details regarding the job for which you applied or are applying, job preferences, desired salary, willingness to relocate, and other information related to compensation and benefits.
  • Information from the entity that recommended your application (e.g., recruiting agency, referral, headhunters).
  • Reference information and information you provide during any applicable background check.
  • Information necessary to confirm and/or demonstrate your ability to work in a particular location.
  • Other information that you provide and/or that we may need to collect during the recruiting, interviewing, and/or (if applicable) during onboarding process prior to the beginning of your employment.
  • Information from third parties in connection with our review of your application and our recruiting activities, including professional references, recruiters, service providers (i.e., those conducting background checks), and recruiting tools and services. Information from third parties may include any or all of the types of information listed above.

2. HOW WE USE YOUR PERSONAL INFORMATION
We will collect, use, and process your personal information in connection with carrying out our application, recruitment, interviewing, and (if applicable) on-boarding process, including to

  • Process and review your job application and any relevant information.
  • Consider you for a specific job(s) and evaluate your skills, qualifications, and interests for a particular role.
  • Contact you for additional information about your application, the recruitment and interviewing process, and your application.
  • Contact you to respond to questions from you.
  • Schedule and/or conduct an interview with you.
  • Verify your information and carry out background and reference checks, where applicable and/or where required or permitted by law.
  • Assess and determine appropriate compensation, if we offer employment to you.
  • Manage any onboarding process or procedures.
  • Keep records related to our hiring and/or recruitment processes as required by law and to monitor for compliance with equal opportunities.
  • Assess the effectiveness of our recruiting processes.
  • Comply with legal, regulatory, and/or corporate governance requirements (including, for example, to ensure compliance with applicable non-discrimination laws).
  • Protect and defend the rights and property of YWFC, other job applicants, our employees, or the public.
  • Detect and protect against fraud and criminal activity.

3. INFORMATION SHARING
We may share your personal information with the following:

  • Vendors (i.e., Comeet) we use to assist in providing services to us or to assist us in administering the recruitment and job applicant tracking process. We require our third party vendors and service providers to use appropriate security measures to protect your personal information consistent with our policies.   • Background check providers that verify information about you as part of your application.
  • Professional advisers, such as lawyers, bankers, auditors, and insurers who provide consulting, banking, legal, insurance, financial, auditing, and accounting services to us so we can operate our business.
  • Law enforcement agencies, courts, supervisory authorities, regulatory bodies and certain other third parties, to the extent that we are required to do so by law, to comply with our legal and regulatory obligations, or to respond to verified requests related to a criminal investigation or alleged or suspected illegal activity.
  • Other third parties to protect the rights, property, or safety of YWFC, our services, employees, or others; to investigate, prevent, or act against suspected or actual illegal activities; or to otherwise exercise or defend legal claims or comply with our legal obligations.
  • Other third parties with your authorization or upon your direction, such as to conduct a reference check.

4. INFORMATION RETENTION
If we hire you, your job application information becomes part of your employment record, and we may use it in connection with your employment. If you are not hired, we may keep your application to allow you to obtain information about the recruitment process or to consider you for other job openings.

We will also retain your personal information for a time period necessary to comply with our obligations under applicable law; for fraud prevention, security, or to help ensure our process integrity and services; to establish or defend a legal, regulatory, or law enforcement claim or investigation; and/or for any other purpose permitted by law.


5. INFORMATION SECURITY
We have put in place appropriate measures designed to secure your personal information against accidental loss and unauthorized access, use, modification, or disclosure. In addition, we limit access to personal information to those employees, agents, vendors, and other third parties with a legitimate business need. However, no system is guaranteed to be 100% secure. As a result, while we strive to protect your personal information, you acknowledge that there are limitations to physical and online transmission that are beyond our control, and, therefore, the security, integrity, and privacy of information exchanged between you and us cannot be guaranteed.

We have procedures to deal with any suspected personal information breach and will notify you and any applicable regulator of a breach when we are legally required.

 

6. INFORMATION TRANSFERS
We are located in the United States. The information that you provide as part of the job application, recruitment, interviewing, or onboarding process will be stored to the United States and/or to any other country where we have hired a vendor or service provider.

As a result, your personal information could be subject to data protection laws that differ from those of the United States. Your personal information could be disclosed in response to inquiries or requests from governmental or regulatory authorities in the countries in which our vendors or service providers operate.

 

7. YOUR RIGHTS

Your rights vary, depending on the applicable law. However, you have the right to update or correct the personal information that you have provided to us.

8. CHANGES TO THIS PRIVACY NOTICE
We reserve the right to modify or update this Privacy Notice at any time. If we make changes, we will post a copy of the updated Privacy Notice on our website and/or send a copy to you.
